Privacy Policy

Last updated: October 19, 2026

Polaris, also known as The Polaris Process, is operated by Baysix, LLC, a Delaware limited liability company. In this policy, "Polaris," "we," "us," and "our" refer to Baysix, LLC and the people authorized to provide and support the Polaris program.

This policy explains how we handle personal information in connection with our website, assessments, inquiries, bookings, payments, and coaching programs. Our programs are offered to United States residents age 18 or older.

Information we collect

Depending on how you interact with Polaris, we may collect:

How we use information

We use personal information to respond to inquiries; administer assessments and enrollment; schedule and deliver coaching; process payments and refunds; review satisfaction guarantee eligibility; communicate about the program; improve our services; protect our systems; and meet legal, accounting, and recordkeeping obligations.

We may also use contact information and website interaction information to communicate about Polaris offerings and measure or support our advertising. You can ask us to stop marketing emails as described below.

We do not use the content of your coaching submissions, session recordings, or transcripts to target advertising, and we do not send that content to advertising platforms.

Service providers and other disclosures

We use service providers and tools to operate Polaris. These include Google Workspace for communication and document collaboration, Notion for program organization and records, Stripe for payments, Calendly for scheduling, Netlify for website hosting, and internally developed software. Other providers may support email, analytics, advertising, recording, transcription, or related program operations as those services are enabled.

We disclose information to providers and authorized people as needed for those purposes. When you interact directly with a third-party service, its own privacy terms may also apply.

Group coaching involves sharing information with other participants. Your name, voice, image, and anything you choose to share during a group session may be visible or audible to the cohort. We require participants to respect one another's confidentiality, but we cannot guarantee the conduct of other participants. Contact us before sharing information you are unsure about disclosing in a group setting.

We may disclose information when reasonably necessary to comply with law or legal process, protect rights and safety, investigate misuse, or carry out a business transaction such as a sale or reorganization, subject to applicable protections. We may also disclose information with your separate permission.

Recordings and transcripts

We may record or transcribe group sessions for program delivery, administration, facilitator review, and improvement. Before doing so, we will give participants notice and obtain consent required by applicable law. A general reference to recording in our Terms does not replace that process.

Recordings and transcripts may contain names, voices, images, chat messages, and information participants share. Access will be limited to authorized people and providers supporting the stated purposes. We will seek separate permission before publicly distributing identifiable recordings or using them in advertising or testimonials.

Recording every session, providing a recording to participants, and making a recording available as a substitute for attendance are not included promises of the program. If you have a recording or transcription concern, contact us before the session so we can discuss it.

Cookies, analytics, and advertising

Our v2 website analytics use a random anonymous browser identifier stored for up to 90 days. It connects website activity across visits in the same browser; it does not connect different browsers or devices. Our recorded PostHog analytics contain approved page paths and interaction fields, excluding your contact details, assessment answers, scores, private results links, raw IP address and raw user-agent. Like other online services, PostHog receives network connection information when requests reach its servers; our events use a fixed placeholder to prevent storing your IP address. An optional first-party cookie allows confirmed bookings and purchases to be linked to an active analytics choice when server measurement is enabled.

On our v2 staging website, a first-party visitor cookie helps preserve how you arrived while you browse or return using the same browser. Its lifetime is up to 90 days from the last recorded visit. We retain bounded source tags, referring website names, and page paths; if you submit a form, its record may include this source history. The cookie does not connect different browsers or devices. Browser restrictions or clearing cookies can interrupt that history.

We may use cookies, tracking pixels, and similar technologies for website functionality, analytics, and advertising. Depending on the tools enabled, third parties may collect information about your activity on our website and across other websites or services over time. This information may support advertising measurement or personalized advertising.

Our U.S.-focused v2 website uses the Meta Pixel to measure page visits, accepted newsletter signups and contact requests, accepted assessment completions, completed consultation bookings, checkout visits, and confirmed purchases unless you turn off advertising measurement or a browser privacy signal prevents it. Meta may receive your browser and device information, IP address, advertising identifiers, eligible page and referring URLs, event type, and confirmed purchase amount and currency. We do not supply form answers, assessment scores, private results links, names, email addresses, messages, booking identifiers, or payment session identifiers to the Pixel. Meta's own privacy terms apply to its processing.

Disclosures to advertising providers may be considered a "sale," "sharing," or processing for targeted advertising under some privacy laws, even when no money is exchanged. The rights and obligations that apply depend on the law and our actual practices.

You can manage cookies through your browser and use privacy controls offered by applicable advertising providers. Where available, website privacy controls provide additional choices. Blocking cookies or other technologies may affect some features, and browser controls do not necessarily stop every form of tracking.

Our website analytics, source history, and Meta Pixel respect browser Do Not Track and Global Privacy Control signals. Advertising measurement is on by default. You can turn it off using the separate advertising checkbox below and save your choice for this browser. These choices do not control every third-party service used on the website; individual services may respond differently. Contact us if you need information about which tracking technologies are enabled or how a preference applies.

This choice applies to Polaris website analytics and persistent source history in this browser. Turning it off stops future analytics and history capture, removes the anonymous analytics identifier, and requests removal of the visitor cookie and revocation of server analytics permission. Server permission is revoked when our server acknowledges the request. If the request fails, this browser retains a retry marker for up to one day; events already sent cannot be recalled. Turning analytics back on creates a new anonymous identifier. Forms still work and may record the source visible on the page you submit; saved submissions are retained.

Advertising is a separate choice and is on by default. Uncheck this box and save to stop future Pixel event calls from this page and browser; information already sent cannot be recalled. A saved off choice stays off on later visits in this browser unless you change it or clear your browser storage. Browser privacy signals can keep tracking off even when this box is checked. Browser choices do not remove information already held by providers or control other third-party tools.

Your choices and requests

You may email chris@chrisvillar.com to ask about our handling of your information or request access, correction, or deletion. We will review requests in accordance with applicable law and may need to verify your identity. Certain records may need to be retained for an ongoing service, a payment or refund, accounting, security, or a legal obligation.

You can unsubscribe from marketing emails using the instructions in the message or by emailing us. We may still send necessary service messages, such as scheduling updates, payment confirmations, and refund communications. Unsubscribing from email does not by itself change website advertising or tracking settings.

California residents can contact us using the same email address with questions or requests concerning their personal information. This policy does not limit rights available under applicable California law or other applicable United States law. The availability of particular statutory rights depends on whether the relevant law applies.

Retention and security

We retain information for as long as reasonably needed for the purposes described in this policy, considering the nature of the information, program administration, legal obligations, and resolution of disputes. Different categories of information may have different retention periods.

We use reasonable safeguards designed to protect personal information. No method of electronic storage or transmission can be guaranteed completely secure.

Children

Polaris programs are for adults age 18 or older and are not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can review it and take appropriate action.

Changes and contact

We may update this policy to reflect changes in our practices or applicable requirements. We will post the revised version with an updated date and provide additional notice when required by law.
